Computer Based Staff Attendance System Using Finger Print (a Case Study of Medial Center Aifpu)

 

ABSTRACT

In recent times, there have been a high level of impersonation experienced on daily basis in both private and public sectors. Employers are concerned over the high level of employees’ absence and late arrivals in their workforce and the difficulty in managing attendance during working periods. Computer-based staff attendance system is a simple employee attendance system that is specifically developed for medium or large organizations with the purpose of making sure that the employees’ card  closing system is completely over. This system provides easy to use and reliable employee attendance tracking and reporting. It allows employees to sign in and out using the PC keyboard, and monitors the employees working time, Besides, the system will calculate the number of employees who work over/under time or come late. Based on the calculation of the above categories, die system is able to generate weekly and monthly attendance record and therefore calculate the total amount of hours worked. Currently, there is no proper system to monitor employee attendance as the organization still uses the paper – based system to keep tracks of the employees’ attendance. As a solution, this system will be developed and provide effective ways to monitor employees attendance. This system is implemented with Visual Basic 6.0.

1.0     INTRODUCTION

Attendance management system is the act of managing attendance or presence in a work setting to minimize loss due to employee downtime. Attendance control has traditionally been approached using time cards and time sheets, but attendance management goes beyond this to provide a working environment which maximizes and motivates employees’ job attendance.

Organizations of all sizes use time cards and attendance system to record when employees start and close at work. Organizations also need to keep tabs on when employees are not working. Vacation time, compensation time and duty must be recorded.

I.I      BACKGROUND OF THE STUDY

Considering the rate of loss main-hours in organizations due to impersonation, employees authenticate attendance system by the use of passwords which is a secure and effective attendance management system better than the paper-based type that plays an important role in the successful deployment of employee attendance. A computerized attendance system provides many benefits to organizations as it enables an employer have full control of all employees working hour and control labour cost by reducing over payment which are often caused by transcription error, interpretation error and intentional error. With this, the administrators may save their time to observe the employees as the system is invaluable for ensuring compliance with labour regulations regarding proof of attendance.

1.1.1     STATEMENT OF PROBLEM

Some observations of several organizations showed that there is no proper system to monitor the employees’ attendance. Some organizations still use the log book to keep track of employees’ attendances which are not precise. Besides, the organization still makes use of paper-based system in tracking attendance records of employees which is not secure as the records can be loosed at anytime. The organizations using paper-based system find it difficult to monitor employee attendance. Information about an employee were not easily accessed, there is slow retrieval of information due to the manual method and also possible loss of employee information.

1.1.2 OBJECTIVES OF THE STUDY

Based on the paper-based method of monitoring attendance which has become obsolete and impersonable, the objectives of this study is:

1.       To improve efficiency of service in organizations by keeping track of attendance and records for the employees.

2.       To provide a paperless environment by using a computerized attendance system that saves time.

3.       To calculate the total working day of the employee thereby generate reports   such   as   daily   attendance,   monthly   attendance   record   and employee analysis.

4.       To eliminate the need for expensive time clock hardware by the use of passwords for authentication.

1..1.3           SCOPE OF THE STUDY.

This project deals with the computerization of attendance in an organization, a sample being selected from Calvary*hospital aba.

This research will analyze the manual paper-based system of attendance in the organization and design a new system to improve upon the weakness of the old one, thereby providing effective, accurate and efficient means of attendance management in the organization.

The system will be user friendly and therefore can be used by employees and systems administrator. Also, impersonation and errors prevalent in the paper-based system will be corrected.,

1.2     IMPORTANCE  OF THE STUDY

          This seminar will go a long way in reducing the problems encountered in various organization in the area of   impersonation of employees. Other importance of the study includes;

  1. Increase efficiency of service in organization by keeping track of attendance records of employees.
  2.  Provide a paperless environment by using computers to log in instead of work registers.
  3. It will calculate total working day of an employee, thereby generate reports such as daily and monthly attendance.
